Why Is It So Hard to Find Good People?

Watch How I Fixed It. Now I Can Restaff The Role In 72 Hours.

In This Video, You'll See:

  • Why hiring feels impossible: Your front desk isn't one job. So the person who's great at all of it may not exist.

  • The Accountant & Cheerleader problem: One person is expected to handle billing, phones, scheduling, and patient questions—then give the person standing in front of them a great experience.

  • The "If It Moves a Mouse" rule: How I decide what needs to happen inside my office and what can happen behind the scenes.

  • Why there is no phone in my office: I have not had one in over three years. The work did not disappear. It moved.

  • The mistake I made with my first VA: I hired someone before I had a clear role, process, reporting, or training in place. Remote doesn’t fix chaos. It reveals it.

  • Why "pre-trained" isn't enough: A PIP office, a pediatric office, and a family practice are all chiropractic. But the person answering their phones needs a different playbook in each. Pre-trained for whose office?

  • How I went from rebuilding the same role to restaffing it in 72 hours: The system did the work, not one special person.

What Doctors Say After They Stop Rebuilding the Same Role

Dr. Marco and Shawna La Starza

“We had the best months we’ve ever done, and wrapping up 2025 it was the best year by far. At first I was actually 100% against it. I just couldn't see how it all went together. The only thing I regret now is not doing this sooner.”

Dr. Misty Morris

“There’s no more pile of work that the team never gets to. It’s brought our labor cost down quarter to quarter by a lot. My life and practice has changed because I have hope for the future.”

Dr. Monique Kilgore

“I’ve lost thousands of dollars of revenue chasing local admin staff. I hired multiple people and over 4 years tried to get it organized. I was hitting my head against the wall till Dr Herba showed me how a VA could work.”

What Would This Look Like Inside Your Practice?

On This Call, We'll:

  • Look at how your front desk works today. Your team, your workflow, and what you're paying for it.

  • Find what's falling through the cracks. The missed work, the repeat training, and the tasks only one person knows how to do.

  • Sort the work. What stays onsite, what can move virtual, and where AI can help.

  • Show you what a redesigned front desk could look like in YOUR office.

Then we'll tell you if VFDA makes sense for your practice.

If it doesn't, we'll tell you that too.

No pressure. Just a clear plan.

I only start 8 new doctors a month, because the first few weeks are one-on-one with me.

How long does the whole process take? ▼
About 120 days from start to finish, ending with a virtual professional trained on YOUR practice. You and your team are part of it. Documenting how your practice actually works is what makes the training fit your office.
What if my VA doesn't work out? ▼
I offer a 1-year free replacement guarantee. If your VA isn't a good fit, I'll personally help you find and train a new one at no cost.
Will my patients accept a virtual front desk? ▼
Yes. Patients care about getting through, getting scheduled and getting answers fast. There hasn't been a phone in my office for over three years. Patients still call, book and reschedule.
Are VAs really English-fluent? ▼
Yes. College-educated and fluent, we can even find bi-lingual if you need it. You're not getting someone who barely understands your patients.
How much does a VA cost vs. local staff? ▼
It depends on the role and hours. As a representative example, a local front-desk employee often costs around $5,000/month, and a full-time virtual professional around $2,200/month. But cost isn't the whole point. It's getting the right work done in the right place. We'll look at your real numbers on the Fit Call.
Do I need special technology? ▼
Not really. Most practices already have what they need. We'll optimize your tech stack during setup.
Is this for brand new practices? ▼
No. VFDA works best for established practices, roughly 150+ patient visits a week and $750K+ in collections, that already have a team and are feeling staffing become a bottleneck.
Why can you only take 8 practices per month? ▼
I personally work with every client. Weekly calls, hands-on support, VA training. I'm the limiting factor, not the program.
Do I have to replace my onsite team? ▼
No. Most practices do not need to replace good onsite people. We look at the work first. Your onsite team often becomes more valuable when repetitive admin work stops interrupting them. The goal is more capacity, not fewer humans.

ABOUT THE FOUNDER

"I had the chance to build it twice. You shouldn't have to."

I'm a chiropractor. Not a business coach.

I practiced from 2004 and owned two offices. For years, I ran a busy, fully staffed practice in Florida.

Full schedule. Big team. The usual staffing headaches.

Then life made the call for me.

My son, Zeke, who is blind and autistic, needed a specialized school we could not get in Florida. So we sold the practice, sold the house, moved to Boston, and started over.

Starting over gave me something most doctors never get:

A blank page.

Before I could sell my Florida practice, I had to pull the work out of my head.

For about two years, I flew from Boston to Orlando every week. On those flights, I mapped out the work, documented the workflows, and organized the practice so it could run without me there every day.

When I rebuilt in Boston, I tried virtual staffing.

My first attempt failed.

I hired someone before I had a clear role, structured workflows, reporting, the right tech, or training built for my office.

She struggled. Then she disappeared.

Looking back, that was not her fault.

I had not built a system for her to work inside.

So I built the system first.

Then the person.

Today, I’ve operated my office without a physical phone for more than three years. The work did not disappear. It moved.

VFDA is what I learned building that system in my own practice—and then helping other chiropractors build it in theirs.

What Other Doctors Say After Rebuilding Their System

Dr. Casen DeMaria

“I didn’t know what it would feel like to have someone be a full part of your team but never have them "in" our office. It's been beyond what we could imagine. She's part of our team and part of our family. It’s been so freeing since we made the switch.”

Dr. Casen DeMaria

Dr. Jeffrey Cronk, DC JD

“As a coach who works with 100’s of doctors, it’s refreshing and rare to see someone who over delivers the way you and your team did. I knew you were using this exact system in your office, and it wasn’t just theory."

Dr. Jeffrey Cronk, DC JD

Dr. Valerie Hunter

“Dr Matt walked us through the entire process. It was the smoothest, onboarding experience. Our VA has relieved a lot of stress off my husband and our team. We have more freedom, less stress, and higher-quality team members. We've grown so fast we added a second VA to keep up”

Dr. Wiley

“Being from a smaller town and since Covid, it’s been tough to find quality staff.  Our VA has been phenomenal, everything we give her she does promptly and professionally. What I love most is my patients can contact her even when we are not in the office. Your program takes all the guesswork out of trying to search the internet and do it yourself."

Dr. James Wiley

Dr. Jeffrey Cronk, DC JD

“This is the thing that I haven’t had time to do on my own, it’s been one of my favorite things that I’ve been able to do in chiropractic. Every coaching program teaches all these new things, but if you don’t have team stability you’re never going to be able to implement, once I set it up, I almost didn’t have to do anything. This process has even helped me with my onsite team."

Dr. Anthony De Maria

Dr. Valerie Hunter

“I hired Matt Herba to help us navigate VA hiring. Best onboarding experience ever. I highly recommend Dr. Matt to make this process as simple as possible.”

Dr. Brian Morris

Dr. Wiley

"The one-on-one calls are the most helpful, going back to Matt every week and having a call like that I think was key because a lot of times I disagreed and I was wrong. He's been doing this AI thing and working with virtual assistants for way longer than me and so I listen to his explanation and I'm glad I switched and started using the system."

Dr. David Iadeluca

Dr. Jeffrey Cronk, DC JD

“I think the most helpful for me was getting some standard operating procedures in place for a VA and Front desk and standing by me when the proverbial crap hit the fan.

My goal eventually is to be able to pull myself more and more out of the practice and not be so dependent on me, so having standard operating procedures allows me to not be the bottleneck in the office."

Dr. Chris Cameron

Dr. Jeffrey Cronk, DC JD

“Trust Dr Matt. He won't steer you wrong. It seems a little uncertain maybe at the beginning and once you take one step forward then the second then the third and then all of a sudden you can actually see the light at the end of the tunnel. And it's worth the investment and the time."
